Manual admin is the cost nobody puts on an invoice: re-keying hours, chasing timesheets, copying data between systems, and the back-and-forth it takes to find out where a job stands. It is spread across your whole team in small pieces, so it never shows up as one number, which is exactly why it is easy to ignore.

This calculator turns it into one number. Put in how many people touch admin, roughly how many hours a week each loses to it, and a blended cost per hour, and it shows the yearly total in dollars and in hours, including how many full-time people that adds up to.

What counts as wasted hours?

Any time spent on work that does not move a job forward: re-entering data, chasing paperwork, copying between systems, manual scheduling, and tracking people down for updates. It is necessary work today, but most of it can be automated.

How do you calculate the yearly cost?

It multiplies the number of people by the admin hours each loses per week, by a cost per hour, across 52 weeks. The hour total is the same math without the cost, and the full-time equivalent assumes a 2,080-hour work year.

What hourly cost should I enter?

Use a blended cost that reflects loaded pay (wages plus the cost of employing someone) for the people doing the admin. A rough average across office and field staff is fine for an estimate.

Is this realistic for a small shop?

Yes. Even a few hours a week per person adds up quickly once you multiply across the team and the year. Smaller shops are often surprised because the time is invisible day to day.
